User guide

From request to delivery, in the order you'll actually do it. Each section tells you what to open, what to do and what to expect.

Overview

Tririse is in private preview. Screens and options may change as phases are approved.

Tririse is organised around four stages: Know (leads and relationships), Reach (outreach), Think (AI with review) and Deliver (proposals, invoices, projects, support). You move through the workspace left to right, and every record keeps its history.

  • Administrators set the organization up once (sections 2–3).
  • Staff work day to day in sections 4–10.
  • Clients only ever see the portal (section 10).

1. Get access

Tririse has no public sign-up. An administrator provisions each organization.

1

Open the request form

Go to Request access.

2

Fill in four fields

Your name, work email, organization and a short note about how you'd use Tririse. Nothing else is collected.

3

Wait for review

The system administrator reviews the request. Submitting never creates a login, and you'll see the same confirmation whatever happens next.

4

Receive your handoff

If approved, the administrator creates your organization and gives the first admin a one-time credential handoff. Keep it private and use it only once.

2. Sign in and activate

1

Open Sign in and enter the email and the one-time password you were given.

2

Choose your own password

On first sign-in you must set a new password before you can continue. Pick one you don't use anywhere else.

3

Add extra security if offered

If your organization has enabled multi-factor sign-in, you'll be asked to confirm a second factor after your password.

4

Recover access

Use Forgot password on the sign-in page. The reply is the same whether or not an account exists, so nobody can use it to check who has one.

Tip. Staff accounts are added by your organization's administrator. If you can't sign in, ask them rather than requesting access again.

3. Run the setup wizard (administrators)

The first time an administrator signs in, the setup wizard walks through five steps. Each shows what is connected and what is still missing.

1

Profile

Confirm your organization's name and basic details.

2

Domain

Enter the domain you'll send from (for example example.com, without https:// or @). Tririse shows a DNS record, with copy buttons for the host/name and value. Add it at your DNS provider, then use Verify. DNS changes can take a while to appear, so try again later if it isn't found yet.

3

Team

Add colleagues using their provisioned account ID, a display name and an initial role. Roles control which modules each person can open.

4

Integrations

Connect Google (for example for Google Sheets sources) or Zoho. Each connection uses the provider's own sign-in and consent screen; Tririse never sees your password. Status badges show Connected or Available.

5

Finish

Review the checklist and finish. You can return to every setting later under Settings.

Tip. Until a sending domain is verified it can't be used for outreach.

4. Bring in leads from a source

Lead sources decide where records come from, such as a connected Google Sheet.

  1. Open Settings → Sources and add a source.
  2. Choose the sheet or file and map its columns to Tririse fields.
  3. Review the preview. Tririse shows what would be imported and flags rows that look like existing records.
  4. Approve the import. Matching and merging keep duplicates from piling up.

Nothing is imported until you approve it, and the source detail page keeps a history of each sync.

5. Work leads in the pipeline

  • Leads, contacts and companies live in the CRM modules. Open a record to see its details, notes and timeline.
  • Pipeline shows opportunities by stage. Move a card to change its stage; stages are configurable under Settings → Pipelines.
  • Ownership: give every opportunity an owner and a clear next step so work doesn't stall.
  • Custom fields can be added under Settings → Metadata when the defaults aren't enough.
  • Analytics summarises what's moving, using only your real data. Anything unavailable is shown as unavailable.

6. Reach out with templates, sequences and campaigns

1

Write templates

Open Templates and create an email template. Each edit saves a new version, so you can see what changed and what was sent.

2

Build a sequence

A sequence is a series of steps with delays between them. When a sequence is used, its steps are frozen so past sends stay explainable.

3

Launch a campaign

A campaign attaches a sequence to an audience and a verified sender. Review the audience and schedule, then start it.

4

Suppression and unsubscribe

Suppressed contacts are skipped automatically, and every email carries an unsubscribe link. Replies are associated back to the right record.

Important: live sending is switched off. Campaigns run in mock mode, which records what would be sent without sending it, until the owner makes a deliberate decision to enable live sending.

7. Review AI classifications and drafts

AI helps with two jobs, and a person approves both.

  • Classifications: replies are labelled (for example interested or not now). Low-confidence items go to a review queue instead of being acted on.
  • Generations: personalised drafts are written only from approved facts you've recorded about a contact.

Open AI to see the queues. Approve, edit or reject each item. Inputs and outputs are kept so you can see how a result was produced. Administrators choose the AI provider under Settings → AI; if it is unavailable, AI features stop rather than guess.

8. Automate routine work

Under Automation, build a workflow in the editor: pick a trigger, add conditions and actions, then validate it. Validation catches broken graphs before they run. Every run is listed under Executions with its steps and outcome, so you can see exactly what happened.

9. Deliver the work

1

Proposals

Create a proposal from a lead or contact. When the client accepts, the accepted version is locked and cannot be edited.

2

Invoices

Draft an invoice, then issue it. Once issued it's immutable; record payments against it as they arrive. Tririse does not process payments itself, and no payment processor is connected.

3

Projects

Turn an accepted proposal into a project, track its work and attach files. Attachments are stored privately.

10. Support tickets and the client portal

  • Tickets have internal notes and public replies kept strictly apart, so an internal comment can't leak to a client by mistake.
  • SLA: an internal clock shows how long a ticket has been waiting. Configure it under Settings → Support SLA.
  • Client portal: invite a client to the separate portal. They sign in on their own and see only what you've chosen to share, never your internal workspace.

11. Settings reference

  • Users & Roles — add staff and control what each role can open.
  • Domains & Email — sender domains and mailbox connections.
  • Integrations — Google and Zoho connections.
  • Sources — lead sources and import review.
  • Pipelines & Metadata — stages and custom fields.
  • AI — provider settings.
  • Support SLA — response targets.

Roles

  • System administrator — provisions organizations and reviews access requests.
  • Organization administrator — manages staff, roles, integrations and settings for one organization.
  • Staff — work in the modules their role allows.
  • Client — uses the separate portal to see what has been shared with them.

Troubleshooting

I can't sign in

Check the email and password. If you've forgotten it, use Forgot password. If you were never provisioned, ask your administrator.

My domain won't verify

Make sure the record's host and value match exactly what's shown, and wait for DNS to propagate before verifying again.

A module is missing from my menu

Your role may not include it. Ask an organization administrator.

An integration shows "Available" but not "Connected"

Available means it can be connected; Connected means it has been authorized. Open Integrations and complete the provider's consent screen.
